A Hire Desk Controller, also known as a Hire Desk Coordinator or Rental Coordinator, is a professional responsible for managing the rental and hiring of equipment, machinery, or vehicles. This role involves coordinating logistics, communicating with clients, overseeing rental agreements, and ensuring the efficient operation of the hire desk.

QUALIFICATIONS

There are no formal academic entry requirements. Training is typically received on-the-job, supplemented by short courses covering practical skills and details of the product or service being sold. NVQs/SVQs in sales are available at Levels 2 and 3.

TASKS

  • Communicate with customers to understand their equipment rental needs, provide information on available options, and assist with inquiries..
  • Monitor the availability of equipment in the rental inventory, coordinating with the warehouse or operations team to ensure timely availability for customers..
  • Prepare and provide customers with accurate quotations for equipment rental, including pricing, terms, and conditions..
  • Process rental orders, including the creation of rental agreements, invoicing, and documentation..
  • Coordinate the logistics of equipment delivery and collection, ensuring on-time and efficient transportation to and from customer locations..
  • Collaborate with maintenance teams to schedule and track routine maintenance and inspections of rental equipment..
  • Manage rental contracts, including extensions, modifications, and termination procedures, ensuring compliance with company policies and legal requirements..
  • Provide ongoing support to customers throughout the rental period, addressing issues, handling inquiries, and ensuring customer satisfaction..
  • Ensure that all rental operations adhere to health and safety regulations, and communicate relevant information to customers and operational teams..
  • Generate reports on rental activity, equipment utilization, and customer feedback for management review..
